The Virginia Association of School Superintendents provides exhibition space for Vendors during the Annual Spring Conference, which will be held April 26-28, 2020, at The Hotel Roanoke.  

Superintendents from all Virginia public school divisions as well as VASS Business Members are invited to attend the Spring Conference, which provides both professional learning and networking opportunities for all participants. 

Exhibitors at the Spring Conference have an excellent opportunity to showcase their products and services, as well as build relationships with current and future clients.  

Superintendents are encouraged to visit Exhibition Booths during breakfasts, receptions, and the scheduled breaks and Break-Out Sessions.  Exhibitors’ Representatives can take advantage of numerous networking opportunities by participating at no cost in all of the various presentations, activities, meals, and receptions during the conference.

Fee for Exhibitors 

The fee for Exhibitors (Level Two of VASS Business Membership) at the VASS 2020 Spring Conference is $2,000.

This fee INCLUDES the $500 annual dues for Business Affiliate Membership--a requirement for participation in VASS events. The membership runs for a full calendar year.

Exhibitors at the Spring Conference (Level Two of VASS Business Membership) receive the following benefits:

• Membership in VASS for one calendar year ($500 value), which includes the following:
  • Eligibility to participate in VASS events.
  • Opportunity to meet Virginia's school division leaders at VASS events
  • Contact information for Exhibitor Representatives provided to Superintendents who attend the Spring Conference
  • Listing in Buyer’s Guide on VASS website
• One fully-equipped Exhibition Booth (8’ by 6’)
• ONE complimentary registration ($800 value) for an Exhibitor’s Representative to attend the Spring Conference (includes all conference meals, presentations, and activities)
• Contact information for Superintendents who are registered to attend the Spring Conference
• Contact Information for Exhibitor’s Representative provided to Superintendents who attend the Spring Conference
• Recognition of Exhibitor’s support of VASS in Spring Conference Program and description of Exhibitor’s goods or services in Spring Conference Packet

Sponsorship Opportunities for Exhibitors

An exhibitor can also sponsor a speaker or event at the 2020 Spring Conference for an additional fee of only $1,750 (a savings of $750 on the standard Sponsor Fee).

If you choose to register as an Exhibitor AND a Sponsor, you will receive all of the benefits of both Level Two AND Level Three for the discounted price of $3,750.

PLEASE NOTE: We do have Sponsorships still available for this year’s VASS Spring Conference, so you are encouraged to consider participating as a Sponsor of the 2020 Spring Conference. 

However, we may not be able to accommodate any additional Exhibitors. 

If you submit a registration as an Exhibitor, you will be placed on a Waiting List.  You will be notified by Wednesday, March 18, as to whether or not there will be sufficient Exhibition Booth space to accommodate your request to participate as an Exhibitor in the 2020 VASS Spring Conference.

Exhibitor Representatives

Your Exhibitor Fee includes one complimentary registration for a Representative of your company to attend the Spring Conference.

Exhibitor Representatives are encouraged to participate (at no additional cost) in all meals, receptions, conference presentations and break-out sessions, as well as all social activities, since these events will provide excellent opportunities for networking with superintendents and other conference attendees.

The following benefits for one Representative are INCLUDED in the $2,000 Exhibitor Fee:

• Breakfast Buffets on Monday and Tuesday and Luncheon Buffet on Monday
• Evening Activities on Sunday and Monday
• Participation in all conference sessions and social events (with the exception of a fee for Representatives who wish to participate in the Sunday Golf Tournament)

If you wish to have more than one representative attend the conference, you are welcome to do so. Each additional representative will be charged $600.

Once you have submitted your registration as an Exhibitor (or an Exhibitor AND Sponsor), the person identified as the primary company contact on the registration form will receive an email with a link to register your representative.
